Privacy Policy

This policy explains how PitCrew ("we", "us") collects and uses personal information across everything we run: this website (pitcrew.uk), the PitCrew application at app.pitcrew.uk, and the branded quote and tracking pages we host for the bodyshops that use PitCrew.

Who we are

PitCrew is a software platform for vehicle bodyshops, operated from the United Kingdom. It gives bodyshops a branded quote portal, AI-assisted estimates, bookings, a workshop board, customer messaging and marketing tools. For any privacy question or request, contact us at [email protected].

Information we collect

Visitors to this website

If you submit the founding-grid / early-access sign-up form we collect what you enter: your shop name, your name, email address and (optionally) mobile number. We use privacy-friendly, cookie-less analytics (Cloudflare Web Analytics) to count visits. We do not run advertising trackers and we do not collect special-category data.

Bodyshops using the PitCrew application

When a bodyshop signs up we collect account details for the shop and its staff: names, email addresses, phone numbers and login credentials. As the shop uses PitCrew, the platform stores the working data the shop puts into it — customer contact details, vehicle details, damage photos, quotes, bookings, job records, invoices and messages. The shop controls that data; we host and process it to run the service, and nothing else.

Bodyshops' customers

If your vehicle is being repaired by a bodyshop that uses PitCrew, the shop may store your contact details, vehicle details and repair photos in the platform, and may send you quote links, progress updates and invoices through it. The bodyshop is the controller of that information; PitCrew processes it on the shop's behalf to provide the service.

Connected social and business accounts

A bodyshop can choose to connect its own social and business accounts (for example Facebook, Instagram, TikTok or a Google Business Profile) so it can publish its before-and-after repair photos from inside PitCrew. These connections are optional and made by the shop's admin through each platform's official sign-in flow. We never see or store the shop's passwords for those platforms — only the access tokens those platforms issue.

Google user data

If a shop connects its Google account, PitCrew requests access to the shop's Google Business Profile via Google's Business Profile APIs (the business.manage scope). Here is exactly what we do with that access:

PitCrew's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Other connected platforms

Tokens for Meta (Facebook and Instagram) and TikTok connections are handled the same way: stored server-side, used only to publish the posts the shop composes, never sold or shared, and removed when the shop revokes access or asks us to disconnect.

Why we use information & our lawful basis

We use sign-up details to contact you about the PitCrew founding programme and early access — to set up your account, confirm pricing and keep you updated. Our lawful basis is your consent (given by submitting the form) and our legitimate interest in responding to people who ask to join. We process platform data under our contract with each bodyshop: it is what the service is.

Who can see your information

Your data is stored securely and is only accessible to us and to the bodyshop it belongs to. We use trusted service providers to run the platform, acting as our processors:

We do not sell your data or share it for marketing by others.

How long we keep it

We keep founding-grid sign-ups while the programme is active and you remain interested. Platform data is kept while the bodyshop's account is active; when a shop leaves PitCrew its data is deleted on request. Social and Google connection tokens are deleted when the connection is removed. If you ask us to delete your details, we will do so promptly.

Your rights

Under UK data protection law you can ask us to access, correct or delete your data, or to stop using it. Email [email protected] and we'll action it. If your data is held by a bodyshop using PitCrew, you can also contact the shop directly. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).

Changes to this policy

If we make material changes to this policy we will update this page and the date at the top. Significant changes affecting connected accounts will be flagged to shops inside the platform.
